Officer, Record Management and Logistics Support - Corporate Services

Job Summary:

- Record storage, retrieval and destruction services management
- Odd item storage & retrieval services management
- Confidential waste collection & destruction services management
- Souvenir handling and inventory management

-Back-up of Mailroom & other HLOS teams

Job Duties:

  • Responsible for proper handling of confidential document management, including detail record taking, supervising and monitoring an outsourced confidential document collector, monitoring confidential document destruction vendor to collect confidential document bags  and onsite surprise inspection according to HKEX standard procedure
  • Handling - all departments’ mass printing and binding requests
  • Operating and maintaining printing related equipment including binding and cutting machines;
  • Handling documents and odd size items storage, retrieval and destruction services, including detail record taking / updating, communicating and checking requests received from various departments, preparing service order to warehouse vendor and onsite inspection for the storage facilities according to HKEX standard procedure
  • Assist in launching and handling the storage service’s portal
  • Responsible for souvenirs storage and retrieval arrangement for souvenirs provided by external parties, including collection, photo-taking, recording, wrapping up, logistic for storage and retrieval
  • Assist in digitalizing souvenirs’ inventory system
  • Back up for the teammates within housekeeping team
  • Perform ad-hoc tasks as assigned


  • Form 6 standard or above prefer.
  • At least 3 years solid record management experience and worked in financial company is an advantage
  • Attention to detail person in handling data update and records keeping with strong risk awareness and high level of integrity
  • Good computer knowledge and skills, e.g. Microsoft words, excels and outlook
  • Possesses good verbal and written English and Chinese language skills
  • Good interpersonal skill with logical thinking
  • Willing to learn and a good team player with an enthusiastic attitude
